Center for Future of the Oceans
Aquaculture Research Manager
Full-time position available
The Aquaculture Manager is a full-time, salaried position within the Sustainable Seafood Initiative at Monterey Bay Aquarium's Center for the Future of the Oceans. The incumbent is responsible for managing the generation of content on sustainable aquaculture for sustainable seafood recommendations (consumers and business) and CFFO policy initiatives.
In collaboration with the Senior Science Manager, refine and implement our institutional vision of sustainable aquaculture including supporting the development of species-specific standards for dominant and emerging species grown in land-based and marine systems.Compile, synthesize and analyze scientific information on various fisheries and aquaculture operations including peer-reviewed journal articles, stock status and other government reports and other reviews of sustainability. Develop, coordinate, and supervise research schedules for the aquaculture research team (Research Analysts, Contractual Researchers, and the Research Assistant).
Identify aquaculture policy opportunities for the CFFO and work with the policy team to develop and implement appropriate strategies for engagement. Manage the aquaculture research team to ensure that their work meets program standards including the generation of sustainable seafood recommendations for consumers and business and content relevant for policy work.
Special Events Administrative Coordinator

This position supports the CFFO Director, Special Projects. S/he will be responsible for a variety of duties and projects, related to conferences, special events and special projects. Includes budget and data base management, coordinating large mailings, light editing, volunteer management, coordinating small meetings, office administration as well as managing the MBA guest lodging program. This position must be self-directed and able to perform under heavy deadline pressures. Schedule flexibility is important, allowing coverage for early a.m., evening and weekend events.
Prepare departmental budget.
Create and track outside contractors' contracts.
Handle department accounting functions; prepare, track, and distribute department budget reports, purchase orders/disbursements/expense reports and other accounting jobs as assigned. Independently track special events budget.
Provide administrative support (including photocopying, faxing, correspondence, mailings, mail distribution and some phone coverage).
Order and maintain stock of office supplies, books, references and event and conference supplies as needed.

Web Designer

The Web Designer is responsible for the design, production, and maintenance of online content from initial request through development, production and deployment. This includes the Aquarium web site, emails, and mobile applications. This responsibility includes, but is not limited to: stakeholder interaction; content and interaction design; image production; page construction; quality control and testing. The Web Designer supports the Sr. Web Designer in providing design solutions that promote the Aquarium goals and standards. Terms ends on 12/31/09.
Translate concepts and ideas into engaging visual presentations and design solutions that account for user behavior and how information is best presented online. Conceptualize and create easy-to-use and meaningful user interfaces based on usablity best practices
Develop attractive and brand consistent designs that adhering to the Aquarium styleguide and design standards. Produce layouts/UIs, widgets, patterns, color palettes, typography, wireframes, workflows, iconography and user interface elements. Apply HTML and scripting to develop prototypes, format content, and build final pages. Ensure designs are multi-platform/browser compliant prior to delivering to Quality Assurance. Publishing to live site. Web Writer

The web writer handles the day-to-day writing needs for the Aquarium web site. This position takes a lead role in writing and editing interpretive online content, multimedia scripts and related materials for the Aquarium's web site. The Website Writer will develop interpretive online content, including information about the Aquarium’s animals, exhibits and programs. Her/his responsibilities will include researching, planning, writing, editing, copyediting and proofreading website content. She/he will cooperate with other departments (including Marketing, Membership, Web and Husbandry) to develop website text. The Website Writer will also communicate with the Monterey Bay Aquarium’s key online communities (Facebook, YouTube etc.). Proactively and reactively works with other departments to ensure dynamic and updated content on the site. This includes gathering, writing, editing, and developing assets, as well as managing the schedule and review process. Writes and edits new web modules to improve and enhance current web content. Subject matter varies widely including marketing and promotional copy, multimedia, educational content, science stories, conservation messages, etc. Edits and revises existing content. Functions as a member of the QA and release teams. Converts other MBA content, including print and exhibit-related materials, for the web. Participates in periodic design/interface site reviews. Logs, manages, and responds to guest queries or comments received via email. Learns and implements Search Engine Optimization techniques.
Represents the Aquarium in our online communities, promoting the Aquarium and its mission. Explores new online community hosts and tools. Please submit 3-5 samples of your written work along with a cover letter and resume.

Membership Assistant

The Membership Assistant, under the supervision of the Membership Manager, the Membership Assistant works closely with the development team to provide excellent customer service for all members and donors. Primarily, this position answers phones, performs all necessary data entry functions, runs renewals, prepares fulfillment materials, including letters and membership cards and performs general office duties. Additionally, this position provides administrative support for inventory and assists in preparing work for volunteers.
The ideal candidate will have two years of administrative, fundraising and non-profit experience; Experience with handling a high volume of telephone calls; Database experience and word processing proficiency; Excellent communication and customer service skills.
Exhibit Production
Senior Exhibit Technician Term ends 4/24/11

This position requires versatile skills and advance knowledge for the design, production, fabrication, installation and maintenance of a complex and diverse array of exhibit graphics and presentation techniques and components; and lighting technology, products and electrical systems. This position demands a skilled craftsman to operate specialized equipment and tools and to perform graphic techniques. Also strong communication and organization skills to carry out production steps with in-house and out of house vendors.
Must have skills needed in fabrication and installation of graphic components to assure to follow design criteria and meet high levels of creativity and quality standards. Must have strong communication skills to be able to perform job tasks and responsibilities in a team environment; accurate record keeping and organizational skills; knowledge and skill in an array of graphic design and fabrication techniques; computer design software, layout, operating specialized laminating equipment, computerized vinyl cutting equipment, drafting, construction and cabinet making techniques, color mixing, painting, mount making. Also required to use small hand tools and apply various types of installation techniques. Able to work with heavy work loads, critical timing of installations and deadlines require ability to work quickly, exercise good judgment, create good solutions for problems and initiate action.

Shipping and Receiving Clerk
Full-time position available
Handles all incoming, outgoing and interoffice mail, along with freight and deliveries for staff throughout the aquarium's various buildings. Assists with keeping accurate records for the department, with vendor contact, and with maintaining a safe and orderly shipping and receiving area.
Processes all in-house mail. Records and processes all in-coming and outgoing mail, parcels and freight (USPS, FedEx, UPS, Cal Overnight). Processes mail/shipments for the Gift & Bookstore and Portola Cafe as is necessary. Assists MBA staff with their shipping & receiving needs. Operates forklift. Assists in keeping accurate accounting records of charges incurred by various departments, reporting them as required for accounting purposes. Assists with maintaining a safe and orderly shipping and receiving area.
Must possess a valid California Driver’s license. Must be able to safely operate a forklift truck and be able to pass employer certification test. Must read, write and speak English. Must possess basic math skills and be able to perform basic calculations. Must be able to operate a computer. Must possess good manual dexterity and be able to safely and effeciently operated automated equipment. Must be able to work independently, prioritize tasks, accurately follow and comply with oral and written direction. Must have thorough knowledge of proper lifting procedure.

Controller

The Controller is responsible for supervising and coordinating the activities of the accounting department. Includes management of the general ledger and creation of financial reports and tax information. Manages annual audit. Oversees compliance with federal grant requirements and other restricted funds. Responsible for ongoing enhancement and monitoring of documented system of internal controls.
BA/BS in accounting required. Licensed CPA strongly preferred. Required to have minimum of 3 years experience as controller in a not-for-profit environment or equivalent experience, minimum of 8 years experience in an accounting environment, and minimum of 3 years supervisory and management experience. Excellent supervisory skills required. Experience with implementing and maintaining an accounting system with multiple restricted funds. Extensive knowledge of federal OMB accounting and reporting requirements. Extensive knowledge and experience with establishing and maintaining internal control policies and procedures. Demonstrated ability to foster a team environment.
Accountant
Full-time position available
The Accountant is responsible for directing the monthly close, performing the fixed assets close, assisting with the annual close, and assisting with preparation and execution of the annual financial audit. The Accountant is also responsible for reconciling all balance sheet accounts and obtaining or preparing all necessary supporting schedules. The Accountant coordinates monthly financial reporting with the merchandising operator as it relates to premises rental, commission, reimbursable expenses, special programs and memberships and coordinates monthly financial reporting with Monterey Bay Aquarium Support Services as it relates to rental activities. The Accountant will also prepare all regulatory filings including the transmittal of 1099 forms to vendors and the IRS. The Accountant will also provide financial information to other departments as requested, perform other special projects as directed by the Assistant Controller, Senior Manager of Finance, and the CFO, and act as backup support to the Payroll Manager.
Bachelor's degree in Accounting, Economics or Finance preferred. Three years related experience. Work independently and also as part of a team. Possess a strong knowledge of Excel, Word and Microsoft applications. Knowledge of Microsoft Great Plains financial software a plus. Excellent communication and interpersonal skills. Financial Analyst

Responsible for the analysis of complex financial data and the creation of monthly reports to support effective management and decision-making across the organization. Conducts studies to improve the operational and financial effectiveness of the organization. Extracts financial data from various accounting and information systems. Performs moderately complex statistical, cost and financial analysis of financial reports and data and prepares subsequent narrative analysis for management. The position will provide financial analysis support to the Assistant Controller.
Perform variance analyses between budgeted and actual results and review analyses with budget stakeholders. Forecast and monitor cash positions.Assist in the management and monitoring of expenditures associated with contracts and grant awards. Assist the Controller in the preparation of reports to lenders and the preparation of internal-use financial reports.Assist the Controller and Director of Finance in the preparation of annual budget and review of departmental budget data.Prepare financial analyses of project costs and present findings in summary reports for executives, management and other employees and stakeholders. Maintain general ledger account segments. Provide schedules and perform account analyses to support amounts reported in annual audit report. Guest Experience
Guest Experience Representative

The Guest Experience Representative is responsible for greeting and assisting all visitors to the aquarium by performing the specific duties of Entrance Host/Hostess, Cashier, or Group Greeter as needed. The Guest Services Representative also assists with line and crowd control and performs the duties of an Auditorium Host/Hostess as scheduled and may be required to learn and perform other duties within the position class as directed by the supervisor.
Must have effective written and oral communication skills; basic counting skills and excellent customer service skills.
Guest Experience Ambassador
Seasonal position available
The GE Ambassador is a critical liaison with Monterey Bay Aquarium guests to strategically stimulate and direct their interest in aquarium programs, marine biology, ocean conservation and a relationship with the MBA. Ambassadors interact with aquarium guests to create a personalized and memorable experience from pre-entry through exit. Ambassadors work both independently and as part of a team to welcome, orient, educate and connect with individual guests and groups of guests, including school groups, throughout their visit. Ambassadors may assist GE Programs staff on microphone, and will work with Security staff and Information Desk staff to assist visitors with special needs.
Provide the highest degree of customer service to all aquarium guests.
Provide information to enhance guests’ aquarium experiences (e.g. wayfinding; aquarium mission, exhibits, animals, and programs; marine biology, ecology and conservation issues; membership benefits; Aquarium Adventure opportunities; website; upcoming promotions; other relevant Monterey-area opportunities).
Work with the Education Programs staff to design and deliver engaging and effective orientations for school and sales groups.
Assist with school group needs in the aquarium and on the grounds (galleries, Hovden Way, bus turn-around, picnic area.
Work with GE Programs and Training staff to deliver educational and entertaining programs to family audiences on the outer deck and in exhibit galleries.
Perform light animal care duties, including feeding, cleaning and record keeping.
Troubleshoot and diffuse potentially negative situations with minimal supervision, as well as coordinate efforts between other departments directly involved.
Engage in reflective/wrap-up dialogues with individuals, families and groups prior to departure. Assist with other projects as requested by the Supervisor/Manager. This position is scheduled through March 16, 2009.

Guest Experience Program Specialist

The Guest Experience Programs Specialist will work with the Managers of Guest Experience Programs and interdivisional team of staff and contractors to deliver and develop visitor programming at a variety of venues throughout and beyond the aquarium. The Guest Experience Programs Specialist will assist in supervision, scheduling, hosting, training, and feedback of regular and seasonal staff, contractors, volunteers, and student guides involved in visitor program delivery.
Present various aquarium visitor programs on weekdays, weekends, and some evenings, including: storytelling, lectures, labs, tours, feeding narrations, and theater pieces as needed. At least half of every day spent in direct contact with aquarium guests or volunteer guides, delivering programming. Serve as primary science advisor on visitor program training materials. Create and update written training materials for presenters and volunteers with varying levels of science background. Assist in the training and continued coaching of volunteers, staff and interns. Provide support for interpretive staff and volunteer guides. Host guest presenters including lecturers, storytellers, and theater professionals, serve as their liaison during their presentations. Work with theater professionals to develop and implement cooperative programs. Promote visitor participation in programs. Assess program effectiveness through a variety of methods including visitor interviews.
